My Role

In my role as the sole product designer, I took responsibility for driving the project's design success. I crafted the vision, set down design principles, and collaborated with both the product and engineering teams to ensure we were crafting the most fitting solutions.

EventHQ Inc is a US headquartered B2B SaaS company. EventHQ is an EventOps and intelligence platform to help enterprise companies run and make their event operations and marketing more productive.

A year ago, I became the sole product designer at EventHQ, joining a team of over 6 engineers and 1 product manager. My role involves providing design support across all facets of our business, and I lead UX and UI efforts in crucial areas of the application side of the platform.

Implemented Design Process : Put in place a design process, providing our team with a more structured approach to our work and enabling other teams to have visibility into our upcoming sprints.

Establishing Design System : We've introduced a design system that's been a game-changer for our Engineering and Product teams. Now, they have a clear understanding of the hows and whys behind our choices when implementing different components.

At EventHQ, we follow the Double Diamond Theory and Lean UX process in our methodology. Our goal is to integrate the essential stages of Discovery, Definition, Ideation, and Implementation across all our projects

UX Research

Gained insights into our target users, established the overarching direction, and conducted several early-stage user tests to validate our concepts.

Design System

We took time to build design system. It ensures consistency and efficiency in design and development processes. It provides a unified approach to creating user interfaces, fostering a cohesive brand identity and streamlining collaboration across teams.

User Testing

We did the moderated user testing to ensure we are designing the right thing for the users.

Understanding the Problem

After extensive user research we found that

Users need platform that can unify the event date to help planning, insights and revenue attribution under one hub.

There has been a significant rise in recent years in the number of events, event types and the tech stack needed to execute events. The increase in tools and tech used by companies has led to a problem- scattered data. This is a major problem for companies that have been trying to streamline their data management efforts to gain better insights into revenue and outcomes. Virtual event platforms do not solve this problem, rather many contribute to the problem by creating silos for marketing & revenue. EventHQ solves this problem from a bottom-up approach, ensuring the unification of event data to help event planning, insights and revenue attribution all under one hub.

Brainstorming Solution

I have collaborated with the product manager to brainstorm ideas.This creative session was all about generating a multitude of ideas to address our UX design challenge. We leveraged diverse perspectives within the team, fostering an environment of innovation.

The primary goal of our brainstorming sessions was to create a space for free-thinking, encouraging everyone to contribute their unique insights without the fear of immediate judgment. We aimed to unlock a wealth of creative possibilities and explore different angles for solving our UX problem. The brainstorming phase set the tone for a collaborative journey, where each team member's input became a valuable piece of the puzzle, ultimately shaping the innovative solutions presented in the case study.

As an event organizer, I want to efficiently manage and engage with my event audience through the Audience Module in the Event Operations Platform.




This includes the ability to:

Easily import and organize attendee data, such as names, contact information, and affiliations.

Segment and filter the audience based on specific criteria, such as registration type, ticket category, or session preferences.

Send personalized and targeted communications, including event updates, announcements, and surveys.

Track and analyze attendee engagement, including event check-ins, session participation, and feedback.

Access real-time insights and reports to assess audience demographics, preferences, and overall satisfaction.

Enable seamless integration with other modules in the platform, such as registration and analytics, to ensure a cohesive event management experience.

Get the Ideal Customer Persona (ICP) and Buyer Persona (BP) from the attendee module.

I made a system to keep things looking the same and make it easy for the designers to pass their work to the developers. It's like building blocks – each part (like cards, lists, and buttons) can be moved around and put together in different ways. This way, everything still looks good and works the way users expect it to.

The complex nature of the app necessitated more than 100 screens covering user on-boarding, event creation module, speaker module, audience module, sponsor module, reporting module, profile and creating forms module.

Results and Takeaways

Successfully launched the beta version of the platform. Able to make at least one feature live every week.

Develop a plan for strategically launching new features : This assists in handling requests beyond the project scope that might risk derailing the timeline and ensures the timely delivery of a high-quality product.

Develop a design hand off process : Implemented a streamlined design handoff process using ClickUp software, resulting in a notable reduction in iterative design discussions between designers and developers. This solution enhances the organization of design files, facilitating efficient accessibility for developers seeking specific design documents.

User testing doesn’t end after development : Design is an ongoing process of continuously enhancing the user experience. Always seek opportunities to gather and attentively consider user feedback.

Include engineering from the beginning stages : This minimizes the need for rework in later stages, as having an early understanding of technical limitations informs your design strategy.
